Dear Sir/Madam
I am writing with regard to the complaints about our reception area that we have received over the past few months and to share my opinions on how to address them.
It came to my notice, a number of visitors expressed their dissatisfaction with our reception area and most of the complaints were due to the fact that it is not spacious and there is no desk to fill in the forms. They also exhibited their concerns that only one receptionist cannot address a great number of queries which cause delay and leads to the place being overcrowded.
Needless to say, reception area is the face of our company and is extremely important as it gives the first impression of the organization. Taking this into consideration, it is highly important to take some steps.
As a solution, I would like to suggest to place an additional sofa set and a desk for visitors to use. Even storage area next to reception can also be converted into a waiting room. Finally, hiring a second receptionist would be definitely worthwhile.
I am hoping that you would look into the recently lodged visitor complaints and implement the suggested changes to provide satisfactory services to the visitors and clients.
